A knowledge management strategy template gives you a ready-made structure for deciding who owns company knowledge, how it is organized, and how you will know it is working. It works for a team that is moving its wiki to a company-wide knowledge base, and for a company that already has one and wants clearer rules.

What is a knowledge management strategy template?

A knowledge management strategy template is a document that records the decisions behind your knowledge management approach in one place. It covers where knowledge lives today, what you want to improve first, who owns each area, how you will roll the plan out, and which measures show progress.

What does a knowledge management strategy template include?

The template has six sections. Together they cover the decisions a company-wide knowledge base needs, from the first audit to the measures you track after rollout.

Details and owners

This section names the plan owner, the executive sponsor, and the date and review date. A named sponsor matters because knowledge management often changes how teams document and share information, and someone needs the authority to remove blockers.

Where you are today

Write down where company knowledge lives now (for example Slack, Google Drive and the wiki), which knowledge people rely on most, and what is broken. Keep it short and factual. This section is the output of your audit.

Goals and priorities

List no more than three priorities. APQC recommends running no more than three knowledge management strategies at a time. A narrow list is easier to resource and easier to measure.

Ownership

Name a person or a team for the sponsor, the knowledge management owner or core team, domain or team owners, and champions. Teams are safer than individuals, because ownership stays in place when someone changes roles or leaves.

Rollout plan

The template uses a 30, 60 and 90-day structure. The first 30 days cover the audit, priorities, owners and basic rules. Days 31 to 60 pilot the approach with a few teams. Days 61 to 90 adjust the plan and expand it.

Success measures

Pick measures that match the problems from your audit and add a target for each. The template suggests adoption across teams, the share of important knowledge with an owner, the share of canonical knowledge that is verified, answer rate, and open knowledge gaps.

A strategy template sits next to a few other documents. Keeping them separate stops the strategy from turning into a rulebook.

Strategy vs. plan

The strategy sets direction, priorities, ownership and measures. A plan turns that direction into actions, owners, timelines and metrics. The template includes a rollout section, so you can use it as a first plan as well.

Strategy vs. governance charter

A RACI template assigns Responsible, Accountable, Consulted and Informed roles to each activity. Use it once your strategy has named owners and you need to spell out who does what.

How to write a knowledge management strategy

Start with what your company already has, then make a small number of decisions and write them down. The steps below follow the order of the template.

Audit what you have

List where knowledge lives, which documents people rely on, who owns them, what condition they are in, and where employees struggle. Ask the people who use the knowledge base what they cannot find and what they do not trust.

Pick up to three priorities

Use the audit to choose what to fix first, for example duplicate documents, missing owners or low adoption in one department. Leave the rest for the next review.

Name owners

Decide who sponsors the work and who coordinates it. Then give each knowledge area to the team closest to it. A central team sets the shared standards, and departments keep responsibility for the knowledge they know best.

Plan a 30, 60 and 90-day rollout

Start with a small group of teams, collect feedback on what is unclear, and expand once the rules work. Give teams the reason for the change as well as the rules, so the new responsibilities feel like part of how they already work.
